Projects and time

Projects, time and billing that agree with each other.

The gap in most agencies is between the hours worked and the hours invoiced. This module closes it: self-hosted project management where a timer running on a task becomes a line on an invoice at the right rate, without a spreadsheet in between and without anybody reconstructing last month from memory.

Approved timesheets become invoice lines at the rate set on the project, task or person.
What it does

The parts you will use daily.

Tasks and milestones

Kanban, list, calendar and Gantt views over the same tasks. Subtasks, dependencies, checklists, multiple assignees and followers.

Timers per person

Start and stop on a task, or add time manually. Each person's time is separate, so two people on one task do not overwrite each other.

Four billing modes

Fixed price, hourly by project rate, hourly by task rate, or per milestone. Set it per project and change it mid-flight.

Client portal

Clients see the milestones, tasks, files and shared timesheets you allow, and nothing else. Per-contact permissions, per project.

Profitability

Billed and billable revenue against labour cost, expenses and purchases, per project and per client.

Recurring tasks

Daily, weekly, monthly or a custom rule. Useful for retainers, maintenance rounds and compliance checklists.

Where it matters

Invoice the hours, not your best guess.

Billable time carries a rate from the task, the project or the person, in that order of precedence. When you raise an invoice from a project, every unbilled approved hour is offered as a line, already priced and already described. Mark it invoiced and it can never be billed twice, because the timesheet row records the invoice line it went to.

  • Approval workflow so nobody bills forty hours logged on a Sunday by accident
  • Client-shared timesheets, visible in the portal, so the conversation happens before the invoice
  • Billable expenses attach to a project and appear on the same invoice
  • Utilisation and capacity reporting per person, per team and per month
Questions

About this module.

Can I stop clients seeing internal tasks?

Yes, and it is the default. Visibility is set per project and then per element, so a client can see milestones and their own tasks without seeing internal work, private comments, costs or the hourly rates you are charging.

Does time tracking work on a phone?

Yes. The installable mobile app is a PWA served from your own installation, so there is no app store and nothing extra to deploy. Start and stop timers, log time, update tasks and reply to comments from a phone.

How does it handle retainers?

Two ways. A recurring invoice for the retainer fee, with the project set to non-billable so hours are tracked but not billed. Or a monthly hour allowance on the project, with time over the allowance flagged as billable so overage becomes a separate line.

Can two people run a timer on the same task?

Yes. Timers are per person per task, so a pair working together each log their own hours at their own rate. The task shows total logged time and each person's contribution separately.
