Inventory

Stock you can trust because the ledger cannot be edited.

Every stock movement writes one immutable row. The quantity you see is the sum of those rows, not a number somebody can type over, and the value on the balance sheet is the value in the warehouse because the same movement posts both. Self-hosted inventory management with multi-warehouse stock, FIFO valuation and full batch and serial traceability.

Stock balances materialised from an immutable ledger, valued FIFO across three warehouses.
What it does

The parts you will use daily.

Multi-warehouse

Unlimited warehouses per company, with an internal location tree for receiving, quality, storage, picking and dispatch.

Immutable stock ledger

Every receipt, issue, transfer, adjustment and production movement, in order, with the running quantity and valuation.

Three valuation methods

FIFO, moving average or standard cost, chosen per item, posting perpetually to the inventory and cost of sales accounts.

Batch and serial

Batches with manufacture and expiry dates and first-expiry-first-out picking. Serials traced from receipt to sale to warranty claim.

Landed costs

Distribute freight, duty and insurance across a receipt by quantity, value or weight, adjusting the valuation of each line.

Reorder rules

A minimum and a reorder quantity per item per warehouse, raising a purchase order, a transfer or a work order automatically.

Where it matters

The stock figure and the balance sheet cannot disagree.

Perpetual inventory means the accounting entry happens with the movement, not at month end. Receive goods and the inventory account rises. Ship them and cost of sales is recognised at the correct valuation for those specific units. Do a stock count and the difference posts to a variance account with the count sheet attached. There is no reconciliation step, because there is nothing to reconcile.

  • Stock reconciliation from a counted quantity, posting the difference with an audit trail
  • Stock aging and slow-moving reports, so dead stock is visible before it is written off
  • Barcode scanning for receiving, picking, packing and counting, from a phone browser
  • Label printing for items, batches, serials and shelf locations on thermal or A4 stock
Questions

About this module.

How does FIFO actually work here?

Each receipt creates a valuation layer at its own cost. When you issue stock, layers are consumed oldest first and cost of sales is posted at those specific costs, not at an average. The item ledger shows which layers a given issue consumed, so you can audit any cost of sales figure back to the purchase that created it.

Can I run negative stock?

Only if you choose to. By default the system blocks an issue that would take a tracked item below zero, because negative stock corrupts valuation. You can allow it per item where it genuinely makes sense, and the system flags the resulting valuation as provisional until a receipt covers it.

Does it handle expiry dates?

Yes. Batches carry manufacture and expiry dates, picking suggests first-expiry-first-out, and there is an expiry report with a configurable warning window. You can block the issue of expired batches entirely, or allow it with a permission and an audit entry.

Will multi-warehouse stock work on shared hosting?

Yes, within the volumes on the system requirements page. Balances are materialised so a list view never sums a million rows live, and the rebuild job is chunked. Past roughly a quarter of a million ledger rows we recommend a VPS, and the Module Manager will tell you when you are approaching that.
