HR and payroll

Payroll data that never leaves your building.

Salaries are the most sensitive records a small business holds, and the strongest single argument for self-hosting. Employee records, attendance, leave, salary structures, payslips and statutory deductions all live in your own database, on your own server, visible to nobody but the people you grant field-level permission to.

A payroll run generating payslips and one balanced journal, on hardware you control.
What it does

The parts you will use daily.

Employee records

Contracts, documents with expiry reminders, an org chart from the reporting line, departments, designations and employment types.

Attendance

Clock in and out from a browser or phone, with an IP allowlist so it only works on your network, plus optional geolocation and shift awareness.

Leave management

Leave types with accrual, carry-forward and encashment, an approval chain, a holiday calendar and balances everyone can see.

Salary structures

Earnings and deductions as fixed amounts, percentages or formulas over base pay, attendance and unpaid leave.

Payslips

Generated for a period, emailed as a PDF in the employee's own language, and visible in their self-service portal.

Country packs

Statutory contributions, income tax slabs, gratuity and end-of-service rules supplied per country and updated as law changes.

Where it matters

One run, one journal, no retyping.

Submitting a payroll run posts a single balanced journal: salary expense by department or cost centre, net pay to a payroll payable account, and each statutory deduction to its own liability account. Paying it clears the payable from the bank. Your profit and loss shows the true cost of employment, split however you need it, without anybody re-entering a number into the accounts.

  • Attendance and unpaid leave feed the calculation, so partial months are right automatically
  • Employee loans and salary advances with scheduled recovery from future runs
  • Expense claims approved through HR become a payable and can be paid with salary
  • Field-level permissions hide salary and personal data from everyone outside HR
Questions

About this module.

Which countries are supported for statutory payroll?

The engine is generic and the country-specific rules are packs. Packs ship for India, the United Arab Emirates, Saudi Arabia, Nigeria, Kenya, South Africa, the United Kingdom and a generic template you can configure yourself. Because rules change every year, pack updates are part of your subscription rather than a paid upgrade.

Can I use payroll without using the accounting module?

You can, but we do not recommend it. Without accounting the run still produces payslips, but the journal has nowhere to post, so the cost of employment never reaches your books and you are back to retyping numbers. Both modules are included at the same price, so there is no commercial reason to run one without the other.

How does the IP restriction on attendance work?

You set an allowlist of addresses or ranges, usually your office connection. The clock-in button only works from those addresses, so people cannot punch in from home. Administrators are exempt so they can correct mistakes, every manual correction is audited, and you can allow named remote workers individually.

Is employee data separated from the rest of the system?

By permission rather than by database. Salary, bank details, national identifiers and personal contact data sit behind field-level permissions, so a manager can approve leave for their team without ever seeing a pay figure. Access is logged, and the GDPR tools can export or erase an individual's personal data on request.
